ABSENCES - PUPILS
Rolls are to be marked by 9:30am and again at 2:00pm. Student attendance must also be checked
on return from morning recess and specialist periods. Every child who is absent at 9am must have
a written excurse or a late notice. Teachers are to monitor the attendance and advise their Team
Leader if unsatisfactory. The class teacher is to advise the front office at the end of each month as
to which children will require the computerized proforma note. Class teachers are to forward this to
the parent and seek its return, signed. This is to be filed with the class roll register in the office. If
the return not is not forthcoming, please try a second time. Class teacher are to advise the office
so that an appropriate notation can be placed on the roll register. This is to be a standardized
format for marking roles (See Daily Survival Guide). Please ensure that attendances and absences
from school are accurately recorded and monitored. A school attendance sheeting indicating
number of children in the grade and monitoring movement of children is circulated fortnightly.
Irregular attendance and exited children should be noted and must be reported to the Team Leader
at unit meetings. All class teachers must advise administration when a child is leaving and the
appropriate exit form completed by the class teacher.
ABSENCES - TEACHERS
If you are going to be absent, please phone A.P. School Operations who will arrange for the
replacement. The budget and timetable determines if there is to be a replacement. If your absence
is to be extended beyond one day, a phone call during the afternoon would assist in planning
arrangements for the next day.
On resumption of duty please complete your leave form and hand into Administration with your
medical certificate if you have one for the Principal to authorise onto CASES.
The names of absent staff and any replacement are to be placed in the daily diary.
ADMISSION OF NEW PUPILS
The office staff are responsible for the completion of the enrolment form and the securing of
relevant immunization certificates and visa requirements etc. the grade placement will be
determined by the Principal or Assistant Principal. The office staff will provide the class teachers
with a summary of the enrolment form as soon as practical. Class teachers are responsible for the
dissemination of information regarding new children to the relevant specialists.
AEU
There is a sub branch at each of the campuses. Issues related to the new Agreement, conditions
of work, class sizes, pay, and other related topics are all discussed at sub-branch meetings
throughout the year. Membership forms are available from either the Sub-branch secretary or
President.
ATTENDANCE ROLLS
Attendance rolls are a legal document and should be treated as such. Neatness and accuracy of
recording are of prime importance. The following should be observed:
a) Monthly rolls from CASES are to be provided by administration and marked according to
the agreed school notation. They are to be kept in the traditional roll covers provided by
administration
b) Rolls may indicate students who are absent only, with a dot indicating that the roll has been
called. Where an absence note has been forwarded, this is to be indicated. Excuse notes
are to e filed in an appropriate manner by the teacher. These are required to be available
for perusal and kept for legal purposes. Make sure the note is dated.
c) When a child is late the must collect a late not from the office- a ‘L’ is to be marked above
the child’s name on the roll
d) Children who fail to arrive at the beginning of the year are to be marked absent. At the end
of two weeks the Principal will record names of these pupils and a decision regarding their
future placement on the class roll made in the light of circumstances. If there is no advice
as to the child’s whereabouts then these names are to be penciled out. No further record of
attendance should be made. After three months the names of these children will be struck
of the roll
e) In the front at the roll, list the name of the school from which the child has transferred and at
the back of the roll, the name of the school then child has transferred to (for cases of
children during the current year only)
f) Please check the accuracy of the information periodically and advise the office of any
changes of address, occupation etc., which you may discover.
AUDIO-VISUAL BORROWING
The school has purchased enough cassette recorders so that each teacher can have their own
cassette recorder in their classroom all year. These recorders must be stored in a safe place and
are to be returned to the Music Room at the end of the school term and year. There is other audiovisual
hardware which can be borrowed for classroom use – slide projector and screen, overhead
projector, listening posts and headphones, camera and video camera, digital camera etc. There is
also a wide range of educational videos stored in the cabinet in the Librarian’s office for teachers
use with their class. Direct broadcasts through Interactive TV is available in the music room and in
the library. Permission from your Principal is necessary before any equipment leaves the school
premises.
CANTEEN
Staff may order lunches from the canteen by placing their orders in the tub located on the staff
room table. A price list is located in the tub
CASH BOOKS
All monies collected must be sent to the office to be recorded through the school’s accounting
procedures. Always send two monitors with the cash book and enclose money in the bags
provided. Never leave any money or valuables in the classroom overnight and take due precaution
during the day to see that you do not place temptation in the way of the children.
If collecting for more than one activity at a time, please ensure that correct amounts are indicated
for each student for the separate activities. Please take a separate class list for each activity.
Please have all cash bags to the office by 9:30am.
CAMPS PROGRAM
The camping program is for children in grades 3/4 and 5/6 and is held in a variety of locations.
Parent helpers/volunteers attending camps will be approved by the Principal and School Council
and require a police check. Camps provide a wonderful learning opportunity for the students and
enable the teachers to get to know the students.

A variety of communication channels exist for the dissemination of information:

• Copies of all circulars and notices are filed in the office for future reference. Please sned all
notices home on the appropriate day. All notices or communications send out to parents
must be on school letter head and counter signed by the Principal or Assistant Principal.

COPYRIGHT AND SCHOOLS – SOFT REFERENCE GUIDE
A license agreement now exists between the Ministry and Copyright organizations so that general
record keeping in no longer necessary. Commercially hired videos may only be shown to classes if
the topic relates directly to class instruction, not simply entertainment.
DECISION MAKING FORUMS
Staff will be involved in making decisions on improving teaching and learning. Some school
organization used involving teachers includes:
• Class sizes
• Grade allocation
• Timetabling
• Yard duty
The Principal is ultimately responsible for all the decisions made at the school and is to informed of
all recommendations prior to their general dissemination. Forums for the decision making process
in the school includes:
• Whole staff meetings
• Curriculum meetings
• Leadership team meetings
• Unit meetings
• Briefing material eg. Memos, bulletins etc.
• Callistemon Consultative Committee (CCC)
DISPLAN PROCEDURES
Each room has a copy of the Displan Emergency procedures- Classroom Action Cards.
Displan Emergency Telephone number is 9589 6266- 24 hours per day. It is the role of the
Principal to report all circumstances.
EMERGENCY DETAILS
Emergency details listing information on children and emergency phone numbers is located in the
school office in the yellow folder under the front counter in the right hand cupboard. Staff are to be
pro-active in advising the office of any changes to address, telephone numbers etc.
ESL
The College caters for students who speak English as a Second Language. See the ESL
Coordinator for further information At the Callistemon Campus you should speak to your Leading
Teacher.
HEAD LICE

HOUSE SYSTEM
There are four houses operating in the school: Baker (purple), Chirnside (blue), Armstrong (red)
and Cowie (green). Children are placed into the house on their arrival in the school and
readjustments to houses takes place each year when required. The administrative officer places
the children in houses based on the gender and ages of the children in the classroom. The sports
teacher monitors the house system.
There is also election of House Captains. The sports teacher will hold discussions prior to elections
on the requirements of leadership and suitability for the position. Leadership team and sports
teacher will screen the nominations before being short-listed for the election. Names of candidates
will be published and voting will be completed by all members of each house from grades 3 to 6 by
secret ballot. Final selection will be by the Principal and the Sports Coordinator.
PROGRAM FOR CHILDREN WITH DISABILITIES (PSD)
Students diagnosed with special needs may require the assistance of an Integration Aide. Please
see the Integration teacher or the Welfare Leading Teacher for further information.
LIBRARY
Karen Barty and Jenny Thorn are the Library Technicians at the Callistemon Campus. Please
contact them regarding Library-related queries such as book and videos etc. Their expert
assistance is also available for internet research.
The College currently has access to The Electric Library for periodicals and newspapers, plus we
have The Age online.
LITERACY
Literacy and Numeracy are College Charter Priorities. All Principal Class and Leading Teachers at
Callistemon Campus can direct or help you with any issues.
LOST OR DAMAGED EQUIPMENT
Nothing is more infuriating than going to use a piece of equipment only to find that it is broken or a
piece is missing. You are urged to report all damages etc to the Assistant Principal immediately
after use. In this way we can maintain our equipment in good working order and not have it sitting
broken and gathering dust on a shelf.
LOST PROPERTY
Lost Property is located outside the sick bay. Children should be encouraged to inspect the lost
property whenever they lose an article of clothing. At the end of the term all lost property is
displayed and parents are requested, via the newsletter, to inspect the items. Unclaimed items are
disposed of at the end of each term.
LUNCH EATING
Lunches are to be eaten in rooms. Experience has taught us that the less children take out into the
yard, the cleaner the yard remains. However, children may take their fruit outside if time does not
allow for it to be eaten during the lunch period. Drinks or packaged food should be discoursed from
being taken outside during lunch time. Teachers in the infant areas may have to organize the lunch
eating period accordingly to accommodate for slow eaters- this time may be adjusted during the
year. All teachers should allow appropriate time for eating lunch.
LUNCH ORDERS
The canteen is operated by an outsourced provider and provides a lunch for each day of the week.
Children ordering lunches are asked to write their name, grade, room and lunch order on a brown
paper bag and enclose the correct money and then place it in the lunch box before school.
Classrooms monitors will collect them at 11.15pm. If children forget their lunch, the teacher should
make provisions for the child to have some lunch. The teacher can make a sandwich in the
canteen. Staff members organizing excursions are to inform the office if lunches will not be being
ordered on the day. Ensure that the OOSH Co-ordinator is informed if supplies are used for
children’s lunches.
MONEY
Teachers wishing to arrange for monies to be collected from students, for excursions, camps etc,
should contact the Office Staff well in advance of the date of the activity. Money from Callistemon
campus need to go through the class cash book. Payments can be made by parents before and
after school.
Students should make their payments at the Administration Block. Payments can only be made
during recess and lunchtime. Students should not approach the Office during class time.
NEGLIGENT ADVICE (SCHOOLS REFERENCE GUIDE 6.14)
Teachers are frequently required to advise students are parents. Please limit advice to the areas
within our own professional competence. Legal proceedings can be taken out against a teacher for
giving incorrect advice. Staff should clearly distinguish between personal and professional
comment.
NURSE
There is a College Nurse at Deloraine and works for two days per week and is available to consult
with staff and students on health related issues, (however he/she is not responsible for First Aid).
The Deloraine Nurse can be contacted in the Student Counselling Offices. The Callistemon Nurse
can be contacted via her pigeon hole in the Staffroom.at Callistemon is responsible for first aid. .
OFFICIAL DUTIES
Official duties are undertaken in the course of employment. They include all curriculum activities
such as classroom teaching; supervising before and after school, recess and lunch time; sport
supervision; supervising of sports teams in interschool contests and other competitions approved
by School Council; supervision of visits to museums, art galleries, theatres, factories etc;
supervision of all excursions. All official duties, including those listed above, are carried out at the
direction of the Principal or with the Principal’s knowledge and approval.
Other avenues of paid employment require authorization of the Governor In Council- application is
made through the Regions Manager.
OHS
There is a coordinator for Occupational Health and Safety and a staff OHS representative at each
campus.
PARENT HELPERS
Parents are welcome partners in the education of children. Please ensure that parents assisting
have had their role ratified by School Council and that they have been provided with a copy of our
protocol for parent/volunteer helpers. Please also ensure they have signed the volunteer register in
the staffroom. This is for workcover/insurance purposes. All parent helpers are to be referred to
CAPS.
PARKING
Parking is available at the staff car park or on the street. Please observe the parking signs.
PARTICIPATION
Camps, excursions, sports meetings, interschool sports, in-school activities and incursions may
occurring during the school year. The general policy is that children are involved in all activities
provided as part of our educational program unless written explanations are received from parents.

Any goods brought to school by children or staff is done at owner’s risk. Private property is not
insured nor is the school responsible for any loss. This pertains to staff and students.
